Refund Policy

Nursing Care & Public Health Conference (NCC)

Registration, Cancellation, Refund & Conference Credit Policy

Effective Date: April 01, 2027 - April 02, 2027

Thank you for registering for the Nursing Care & Public Health Conference ("NCC"). We are committed to delivering a high-quality educational and networking experience for all participants. To ensure fairness and transparency, please carefully review the following Registration, Cancellation, Refund, and Conference Credit Policy before completing your registration.

By submitting your registration and payment, you acknowledge that you have read, understood, and agree to be bound by this policy.


1. Registration Agreement

Registration for any NCC conference constitutes a contractual agreement between the registrant and Nursing Care Conference (NCC).

Upon receipt of your registration and payment, NCC immediately begins allocating conference resources, including but not limited to:

  • Speaker and attendee scheduling
  • Venue planning
  • Conference materials
  • Catering arrangements
  • Administrative processing
  • Hotel room reservations (where applicable)
  • Event logistics
  • Staffing and operational commitments

Because these costs are incurred immediately following registration, cancellation requests are subject to the terms outlined below.


2. Refund Eligibility

Refund requests are subject to the following conditions:

Registration Fees

Registration fees may be eligible for a refund only if both of the following conditions are met:

  • The request is submitted within twenty-four (24) hours of the original payment, and
  • The request is made more than sixty (60) calendar days before the first day of the conference.

If either of these conditions is not met, the registration fee is non-refundable.


3. Conference Credit Policy

If a refund is not available under Section 2, NCC may issue the amount paid toward the conference registration fee as NCC Conference Credits, subject to the following terms:

Conference Credits

  • Have no expiration date
  • Are valid for lifetime use
  • May be applied toward registration for any future NCC conference worldwide
  • Are non-transferable unless otherwise approved in writing by NCC
  • Have no cash value
  • May not be redeemed for cash or refunded to the original payment method

Conference Credits apply only to conference registration fees and cannot be applied toward hotel accommodations or other third-party expenses.


4. Hotel Accommodation Policy

Hotel accommodations are arranged with third-party hotels and conference venues.

Once hotel arrangements have been initiated or confirmed, hotel-related payments become non-refundable.

Accordingly:

  • Hotel accommodation fees are not eligible for refunds
  • Hotel accommodation fees are not eligible for conference credits
  • NCC cannot refund amounts paid toward accommodations because these payments are subject to contractual agreements with hotel partners

Any exceptions are solely at the discretion of the hotel and not NCC.


5. Sixty (60) Day Conference Deadline

Beginning 60 calendar days before the conference, all conference-related commitments become final.

Accordingly:

  • No refunds will be issued within sixty (60) days of the conference start date.
  • No conference credits will be issued for cancellations made within sixty (60) days of the conference unless otherwise required by applicable law.
  • Registrants who fail to attend ("No Shows") are not eligible for refunds or conference credits.

6. Cancellation Procedure

All cancellation requests must:

  • Be submitted in writing via email.
  • Include the registrant's full name.
  • Include the registration confirmation number (if available).
  • Be sent to: ncc@nursingcareconference.com

A cancellation request shall be deemed received only upon written acknowledgment by NCC.


7. Processing Time

Approved refunds, when applicable, will be processed to the original method of payment.

Please allow approximately 10–30 business days, depending on your financial institution.

NCC is not responsible for delays caused by banks, credit card issuers, or payment processors.


8. Non-Transferability

Unless otherwise approved by NCC:

  • Registrations are non-transferable.
  • Conference Credits are non-transferable.
  • Hotel accommodations are non-transferable.

Exceptions may be granted at the sole discretion of NCC.


9. Force Majeure

NCC shall not be liable for cancellations, postponements, interruptions, or modifications resulting from events beyond its reasonable control, including but not limited to:

  • Natural disasters
  • Severe weather
  • Fire
  • Flood
  • Earthquake
  • Pandemic or epidemic
  • Government restrictions
  • Acts of terrorism
  • Civil unrest
  • Labor disputes
  • Venue closures
  • Utility failures
  • Transportation disruptions
  • Any other force majeure event

In such circumstances, NCC reserves the right to:

  • Reschedule the conference,
  • Convert the event to a virtual or hybrid format,
  • Provide Conference Credits, or
  • Offer alternative arrangements at its sole discretion.

10. Changes to Conference Program

NCC reserves the right to modify:

  • Conference dates
  • Venue
  • Program schedule
  • Speakers
  • Workshops
  • Panel discussions
  • Educational sessions
  • Networking activities

Such changes shall not constitute grounds for cancellation, refund, or compensation.


11. Limitation of Liability

To the fullest extent permitted by applicable law:

NCC's total liability arising from or related to a registrant's participation shall not exceed the amount actually paid by the registrant for conference registration.

NCC shall not be liable for any indirect, incidental, consequential, special, or punitive damages, including but not limited to travel expenses, airfare, hotel costs, lost income, business interruption, or other related costs.


12. Governing Law

This Policy shall be governed by and construed in accordance with the laws of the State in which Nursing Care Conference is organized, without regard to conflict of law principles.

Any disputes arising under this Policy shall be subject to the exclusive jurisdiction of the appropriate state or federal courts.


13. Policy Changes

NCC reserves the right to amend, revise, or update this Policy at any time.

Any revised policy shall become effective immediately upon publication on the official conference website unless otherwise stated.

Acceptance of Terms

By completing your registration and submitting payment for any Nursing Care & Public Health Conference event, you acknowledge that you have read, understood, and agree to be legally bound by this Registration, Cancellation, Refund, and Conference Credit Policy. Failure to read this Policy does not exempt any registrant from its terms and conditions.
